A capable team working in different ways
Client A had grown from one corporate guarding contract to a portfolio of six office locations. The officers were experienced and the client relationships were positive, but each site had developed its own report formats, handover habits and follow-up process.
The differences became visible when a senior client asked for a portfolio-wide review. Reports arrived in different formats, actions raised at one site were difficult to trace, and operations managers spent hours combining information before every meeting. Creating one clear way of operating
XION reviewed the journey from an officer recording an event to the client receiving an update. Together, the teams defined a shared reporting standard, minimum handover requirements, escalation levels and clear ownership for outstanding actions.
The model included consistent daily and incident-report templates, a structured shift handover, action ownership with due dates and escalation, a portfolio view for operations managers, and a concise monthly client-performance pack. Supervisors were involved in the design and trial. Their feedback removed unnecessary steps and helped the workflow fit the realities of each site.
From compiling information to managing performance
Within the illustrative measurement period, same-shift incident-report completion increased from 68% to 96%. Overdue follow-up actions fell from 27 to 7 per month, while weekly management time spent compiling portfolio reports reduced from 12 hours to 7 hours.
The most visible change was not the template. Client meetings moved away from reconciling incomplete information and towards trends, recurring issues and decisions. Client A could demonstrate a consistent service across the portfolio while still allowing each site to manage its local requirements.
