Improving security assurance at a busy manufacturing facility

Illustrative case study. Client B is a fictional security company and the results below are example measures, not verified XION client outcomes.

Several professionals lean over documents in a planning session.

Small gaps were becoming a large management burden

Client B provided round-the-clock security at a manufacturing facility with employees, contractors, deliveries and restricted operational areas. Officers managed the work diligently, but patrol records, access exceptions and follow-up actions sat in separate logs.

When a contractor-access issue required review, the team spent most of a day reconstructing the timeline. The information existed, but it was distributed across notebooks, email and individual reports. Management recognised that the same problem could affect client assurance during a more serious event.

Connecting the operational record

XION mapped the high-volume workflows around patrols, contractor access, incident response and escalation. The team introduced a structured process that linked each exception to an owner, status and resolution record.

The redesigned process included role-based shift briefings, scheduled patrol tasks and exception capture, consistent contractor-access records, escalation and action tracking, and a repeatable monthly assurance report. Officers continued to make operational decisions. The workflow supported them by making required checks clear, highlighting overdue actions and giving supervisors a single view of incomplete work.

A clearer story for the client

During the illustrative period, missed or late patrol checkpoints reduced from 14 to 3 per month. The average time required to issue an approved incident summary reduced from nine hours to three, and the monthly assurance pack that previously took two working days to assemble was prepared in approximately four hours.

The client could see what had happened, how Client B had responded and what remained open. Supervisors spent less time searching for records and more time reviewing patterns with their officers.

Illustrative results

  • Missed or late patrol checkpoints: 14 → 3 per month
  • Approved incident-summary preparation: 9 → 3 hours
  • Monthly assurance-pack preparation: 2 days → 4 hours
  • Exceptions connected to named owners and resolution records
