Growth changed the operating environment

Client C began supporting a distribution operation that had extended its trading hours and increased contractor and vehicle traffic. The original security process had been designed for a smaller facility. As activity grew, handovers became longer and exceptions were increasingly carried forward without clear ownership.

One Monday morning, the incoming supervisor found several unresolved visitor passes, a damaged perimeter point and conflicting notes about a delivery dispute. No single issue was critical, but together they revealed a process that relied too heavily on memory and individual follow-up.

Designing the shift around continuity

XION worked with Client C to identify what the next shift genuinely needed to know. The handover was redesigned around open risks, expected visitors and contractors, access exceptions, site defects and actions requiring client input.

The workflow created a consistent opening and closing shift check, a live list of unresolved security exceptions, clear ownership and escalation for visitor and contractor issues, linked records for perimeter defects and follow-up, and a concise management view across warehouse locations.

Fewer loose ends at the end of the shift

In the illustrative measurement period, unresolved visitor and contractor exceptions reduced from 22 to 5 per month. Completion of required handover checks increased from 61% to 94%, while monthly time spent manually consolidating data reduced from 18 hours to 6 hours.

Officers reported that the new process made their shifts easier to start and finish. Managers gained a clearer view of recurring exceptions, and the client received evidence that issues were being carried through to resolution rather than simply recorded.
